Job Description:

Answer phone calls, take messages and redirect calls as appropriate;

Organize and schedule meetings and appointments;

Produce and distribute correspondence memos, letters, faxes and forms;

Develop and maintain a filing system;

Order office supplies;

Submit and reconcile expense reports;

Provide general support to visitors;

Carry out administrative duties such as filing, typing, copying, binding, scanning etc.;

Write letters and emails on behalf of other office staff;

Book conference calls, rooms, taxis, couriers, hotels etc.;

Maintain computer and manual filing systems;

Handle sensitive information in a confidential manner;

Take accurate minutes of meetings;

Coordinate mail flow in and out of office;

Greet and assist visitors to the office;

Provide secretarial support;

Participate actively in office task;

Prepare purchase requests;

Manage stationary issues, storage management;

Assist in the preparation of regularly scheduled reports;

Develop and update administrative systems to more efficient;

Provide information by answering questions and requests;

Help with preparing presentation materials;

Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.

Job Requirements:

Education: Bachelor’s degree or relevant experience;

Work Experience: at least 1 year experience in relevant field;

Languages: Azerbaijani (native), English (Intermediate), Russian (desirable);

Computer Skills: MS Office programs (Word, Excel, PowerPoint) and office equipment.

Excellent communication skills (oral and written);

Strong organizational skills;

Ability to work independently and as part of a team;

Attention to detail;

Problem-solving skills;

Ability to work under pressure;
