Job Details

Your main responsibilities:

Calendar Management: Coordinate and manage the CEO's calendar, scheduling appointments, meetings, and conferences efficiently.

Communication Management: Act as a primary point of contact for internal and external stakeholders, managing correspondence and communication on behalf of the CEO.

Travel Arrangements: Arrange and coordinate domestic and international travel, including flights, accommodations, and transportation.

Meeting Preparation: Prepare materials and agendas for meetings, ensuring the CEO is well-informed and prepared for each engagement.

Office Management: Oversee office organization, manage office supplies, and coordinate office maintenance as needed.

Project Coordination: Assist in coordinating projects and initiatives, ensuring timely execution and follow-up on assigned tasks.

Document Management: Maintain and organize confidential documents and records, ensuring accessibility and security.

Information Filtering: Prioritize and filter incoming information, including emails, phone calls, and other communications, to ensure the CEO's attention is focused on critical issues.

Special Projects: Support the CEO on special projects, conducting research, analyzing data, and preparing reports as needed.

Confidentiality: Maintain strict confidentiality regarding sensitive information and decisions.

Translation & Interpretation: Translate documents from English to Azerbaijani and vice versa.Provide interpretation during meetings with CEO

Your qualifications:

Bachelor’s degree in business administration, office management, or a related field

Minimum of 3-5 years of experience as an executive assistant to a senior executive or CEO

Exceptional organizational and time management skills, with the ability to prioritize tasks effectively

Strong written and verbal communication skills, with proficiency in Azerbaijani, English, and Russian

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Experience in managing calendars, travel arrangements, and meeting logistics

Excellent interpersonal skills, with the ability to interact professionally with individuals at all levels

Ability to handle confidential information with discretion and integrity

Familiarity with office management procedures and equipment

Positive attitude, proactive approach, and ability to work independently with minimal supervision

Proven ability to work under pressure and meet deadlines in a fast-paced environment

Excellent problem-solving skills and attention to detail

Knowledge of translation and interpretation principles.

Proficiency in translation tools and software.

Familiarity with the business etiquette and cultural nuances of Azerbaijan.
