Project Assistant– LWF Jerusalem
Position: Project Assistant (National Position)
Duty Station: Jerusalem
Reports to: Project Officer
Contract Type: Fixed-term Contract
Commencement: ASAP
Background:
The Lutheran World Federation (LWF) is a global communion of 149 churches in the Lutheran tradition, representing over 77 million Christians in 99 countries. The LWF acts as a platform through which its member churches collaborate on issues of common interest such as diakonia (service), mission and theology.
The LWF Department for World Service (DWS) provides humanitarian and development assistance in around 27 countries worldwide. The LWF Palestine Country Program started its operations in 1950, and since then it has been providing services to Palestinian refugees and the vulnerable local population in the fields of education, livelihood, psychosocial support, and emergency response. LWF works closely with the Augusta Victoria Hospital (AVH) in Jerusalem and supports it as the only specialized medical center in the occupied Palestinian territory, providing tertiary health services to patients from the West Bank and Gaza.
Main duties & responsibilities:
1. Program and Project Implementation
- Assist the project officer in planning and implementation of project activities according to the project’s timeline and budget.
- Under the guidance of the project officer, develop project implementation plans and monitoring checklists.
- Contribute to developing training materials.
- Participate in relevant trainings and workshops organized by the project and contribute effectively.
- Assist the project officer in day-to-day project implementation and ensure accurate follow-up, and timely completion of project activities in accordance with the project plan and timeline.
- In close coordination with the Project Officer, identify and manage logistical requirements for training, meetings, seminars, workshops etc.
2. Project Reporting and Documentation
- Draft activity reports upon completion of project activities.
- Translate project-related documents and reports.
- Contribute to the preparation of donor reports.
- Ensure proper archiving of project documents both in hard and soft copies in line with LWF filing system.
- Draft success stories/case studies.
3. Stakeholders coordination
- Establish and maintain effective working relationship with project beneficiaries and local partners.
- Facilitate communication and ensure proper information sharing and coordination among relevant stakeholders.
- Contribute to creating a positive working environment between LWF staff and its stakeholders.
4. Monitoring, Evaluation, Accountability and Learning
- Conduct field visits to project sites to monitor project implementation, provide support to project participants, collect information and success stories.
- Administer beneficiary satisfaction surveys under the guidance of the project officer.
- Provide support to project evaluation exercises.
- Facilitate beneficiary complaint mechanism, ensure beneficiaries feedback is recorded and addressed.
- Contribute to documenting lessons learned from the project implementation for organizational learning purposes.
- Promptly report to the Project Officer any challenges or deviations from the implementation plan that may impact project deliverables.
5. Finance and Administration
- Support the PO to Monitor project budget in coordination with the Finance Department.
- Review and reconcile payment requests and financial documents submitted by beneficiaries.
- Support procurement process of goods and services related to project implementation by drafting Terms of Reference and collecting quotations, etc., in accordance with LWF procurement guidelines.
6. Other tasks:
- Perform other tasks and responsibilities as required by the supervisor.
Qualifications:
1. University degree in social sciences, development studies or relevant field.
2. Minimum 2 years of relevant work experience, preferably in the field of humanitarian assistance or development.
3. Excellent communication and interpersonal skills and ability to establish and maintain effective working relationships with colleagues, partners and beneficiaries.
4. Excellent report writing skills in both English and Arabic languages.
5. Strong organizational skills and attention to detail.
6. Ability to work independently and as part of a team.
7. Good knowledge of Microsoft Office applications (Word, Excel, PowerPoint).
8. Valid driving license and willingness to travel in the West Bank
Additional desirable qualifications:
- Experience in project implementation and management.
- Experience working with vulnerable populations or refugees.
- Knowledge of the local context and culture.
