Job Details

Provide administrative support to executive team members including but not limited to managing their calendars, coordinating meetings and conference calls, arranging travel schedules and preparing expense reports. Assist with the preparation of presentations, reports and other documents, ensuring accuracy and adherence to deadlines. Organize and maintain files and records both physically and digitally, implementing efficient filing systems and ensuring easy retrieval of information. Act as a liaison between internal and external stakeholders, answering inquiries, directing phone calls and greeting visitors with professionalism and courtesy. Manage incoming and outgoing correspondence, including mail, email and faxes, prioritizing and distributing them appropriately. Coordinate office operations and maintenance, including ordering supplies, maintaining equipment and ensuring a clean and organized work environment. Assist with event planning and coordination, including scheduling venues, managing invitations and providing on-site support as needed. Process invoices, track expenses and assist with budget preparation and monitoring. Conduct research and gather information on various topics as needed, compiling data and preparing summaries for review. Provide support for special projects and initiatives, including coordinating tasks, tracking progress and ensuring timely completion. Assist with the onboarding process for new employees, including preparing paperwork and coordinating orientation activities. Maintain confidentiality of sensitive information and exercise discretion in handling confidential matters. Identify opportunities to improve administrative processes and implement best practices to enhance efficiency and productivity. Provide general support to other team members as needed, fostering a collaborative and supportive work environment. Stay updated on company policies, procedures and best practices, ensuring compliance and adherence to established guidelines. Continuously seek opportunities to enhance skills and knowledge through training and professional development activities. Proactively anticipate the needs of executive team members and provide proactive support to address challenges and ensure smooth operations. Maintain a positive and professional demeanor at all times, representing the organization in a professional and courteous manner.
