This position is responsible for providing excellent service and building a good relationship with customers through constant communication, support and prompt resolution to issues. The employee shall comply with all applicable regulatory and customer requirements to prevent service failures.
Job responsibilities
Answer all incoming emails/phone calls within one hour. Reply on customers inquiries and communicate resolution/plan on complaints received
Coordination with other departments in ensuring services agreed upon with the client
Prepare operational reports in a timely and accurate manner, and present reports on scheduled or as needed basis.
To follow all instructions/ procedures detailed in client manuals at all times
Prompt and immediate escalation of major issues and problem to the team leaders/ Managers
Strictly adhere to clients standard operating procedure when communicating issues with the clients’ team/staff
Check and coordinate release of shipments with client and or client representatives to confirm readiness and accuracy before transmittal to the shipping lines
Review of documents and coordination of submission to local broker
Track and trace all incoming and outgoing shipments to/from customer accounts, by means of client, broker, haulier, and ocean-liner software platforms
Support compliance to country border regulatory by the means of submitting documentation of custom clearances. The Customs Specialist should be able to address regulatory inquiries and facilitate the submission/amendment of import/export permits from Government Institutions.
Communicate status, special requirements, and timelines between Customer Service, Broker, Customs Compliance, Operations, Haulage, Customer representatives, as needed for day to day operation management
Resolve and process claim, when appropriate, with internal and external stake holder to keep customers appraised on claim status
Keep management aware of major developments regarding customers relations or service-level problems
Coordinate client requests, instructions with all concerned (carriers, truckers, port authorities) in order to guarantee customer satisfaction, keeping quality targets and to perform administrative tasks
Identify work-related accidents, eliminate health and safety hazards and develop safe working procedures.
Understand and observe company’s policies, procedures and objectives, including, safety.
Keep records in an organized, accurate and safe manner.
Suggest ways of eliminating waste/errors in the daily operational activities.
Maintain an effective working relationship and communication with operational colleagues to ensure an effective service is provided to clients.
Follow and adhere to all Business processes to ensure standardization.
Qualifications
Bachelor’s Degree (BS) from an accredited college or university
2+ years of experience in Customer Service for a forwarding company is required.
Demonstrates strong oral and written communication skills in English
Advanced Knowledge of Forwarding Operations & related Customer Service
Knowledge of operational planning & methods
Expertise of import/export and regulations
Proficiency in using MS Office Suite. Must be efficient in creating reports and presentation slides.
Ability to communicate and relate effectively at all levels.
Should be available on short notice.
