Background

UNDP is supporting the Government of Albania in implementing its commitments under the Paris Agreement on Climate Change and national development priorities, particularly related to energy sector, transport, and adaptation. It has supported preparation of the National Determined Contributions and recently provided support for setting ambitious new targets for decarbonization.
The Government of Albania has committed to submit its updated National Determined Contributions (NDCs) to the UNFCCC. In order to do so, the process has to be supported and enhanced in its implementation.
Given this background and the commitment of the government to raise the climate change mitigation ambition, UNDP Albania is seeking to hire a highly qualified Local Project Assistant who will support the NDC revision process and will assist in the implementation of climate related activities and achievement of the Sustainable Development Goals.
Duties and Responsibilities
Summary of key functions:
Provides support to effective and efficient implementation of the “Support the Revision of Albania’s National Determined Contributions (NDCs)” Project. Supports the administrative and logistical functioning of the Project. Provides administrative support to the Project activities focusing on achievement of the following results:Implements effective internal controls, supports to manage confidential and sensitive information and supports the functioning of the Project;Assists in logistical arrangements for meetings, workshops, and conferences;Maintains an effective and efficient filling system for the Project ensuring security and easy access of information;Provides general office assistance such as preparation of routine correspondence, memoranda and reports in accordance with UNDP requirements, maintenance of Project files and logs;Under the direct supervision of the Project Manager, the Local Project Assistant will perform the following tasks:
Provides support to effective and efficient implementation of the “Support the Revision of Albania’s National Determined Contributions (NDCs)” Project. Ensuring logistical support for the NDC Revision processes including travel and accommodation for all missions in the framework of project implementation;Organizes events and meetings within the scope of project;Prepares correspondence, meeting minutes and ensures follow-up;Collecting and filling the project related documents and data (i.e. consultants’ deliverables and reports, workshop materials and other);Support the overall logistics in organization of trainings, conferences and meetings.
Provides support to effective and efficient administrative functioning of the project.Supports the administrative processes needed to implement the work of the Project (travel, visa requests, hotel reservation etc). Provides day-to-day logistical support for the smooth implementation of the Project activities.Assists with routine and project correspondence.
Facilitates travel arrangements by preparing travel authorizations, visa requests, tickets, security clearances, collecting travel expense reports.
Assists in logistical arrangements for meetings, workshops, and conferences.Coordinates with the Logistics team to ensure efficient distribution of necessary materials.
Provides support to the Project Management.
Provides assistance in translating and interpreting project related documents, reports, etc.
Performs other duties as assigned by supervisor, that fall within the purview of this job description.The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Required Skills and Experience
Education:
Secondary education with specialized certification in Accounting and Finance.
University Degree in Business or Public Administration, Economics, Social Sciences, will be given due consideration.
Experience:
Minimum 6 years of experience with secondary education or 3 years of experience with bachelor’s degree in the area of project support and administrative work is required; Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web-based management systems;Experience in administrative support and national protocols is an advantage;
Experience in working with UN Agencies is an asset;
Language Requirements: Fluency in English and Albanian language, both written and spoken is required.
