US Tax Preparer & Staff Accountant (Seasonal → Potential Permanent)

Role Purpose
Own end-to-end U.S. tax prep and audit-ready bookkeeping for small/mid-market clients. Peak-season throughput + review discipline + a smooth client experience. Bonus points for turning messy books into elegant, tax-ready narratives.
Key Outcomes
On-time, accurate federal/state filings with zero preventable notices.
Clean, reconciled books that tie to returns—QBO and/or Xero as the single source of truth.
Payroll that is timely, compliant, and fully reconciled from Gusto → GL with zero tax penalties.
Standardized workpapers/checklists that reduce prep and review cycles.
Responsibilities
Tax
Prepare/e-file 1040 (Schedules C/D/E), 1065, 1120S, 1120 + related state returns (single & multi-state).
Build K-1s, track basis, manage MACRS/§179/bonus depreciation, and post year-end AJE’s.
1099-NEC/1096 management; payroll tax support (941/940/W-2/W-3, state SUI/SIT).
Research positions (IRC/Regs/Pubs) and draft clear, supportable memo notes; manage IRS/state notices.
Accounting (QBO/Xero)
Full month-end close: bank/CC recs, AR/AP, accruals, prepaids, fixed assets; lock periods.
Xero: bank feed rules, Tracking Categories, Projects, repeating journals, bank recs, custom reports; Hubdoc/Dext ingestion and coding best practices.
Data hygiene: chart-of-accounts design, item mapping, tax codes, and cash ↔ accrual bridges.
Build reviewer-friendly workpaper binders (TB ↔ return) and manage PBC request lists.
Payroll (Gusto-centric)
Configure and operate Gusto payroll: onboarding, I-9/W-4 flows, pay schedules, benefits, PTO, and terminations.
Multi-state payroll: SUI/SIT registrations, reciprocal agreements, local taxes where applicable.
Ensure automated tax payments/filings (EFTPS/state) are enabled and reconciled; resolve rejects.
Map Gusto → GL payroll journal entries (wages, taxes, benefits, payroll liabilities); reconcile quarterly (941) and annual (W-2/W-3) filings to the GL and to returns.
Contractor workflows: collect W-9s, pay 1099 contractors via Gusto, file 1099-NEC on time.
Client & Advisory
Run intake calls, set deadlines, unblock document flow.
Surface planning levers: entity selection, multi-state exposure, QBI, reasonable comp, retirement contributions, accountable plans, home/vehicle deductions.
Workflow, QA & Security
Use standardized prep/review checklists; peer-review before e-file.
Enforce PII/NPI controls, MFA, encrypted portals, least-privilege access.
Tools
Tax: Drake, Lacerte, ProSeries, or UltraTax; IRS e-Services; state portals.
Accounting: Xero (strong plus); Dext/Receipt Bank/Hubdoc; Bill/Payables tools; Gusto/ADP/QuickBooks Payroll (Gusto preferred).
Productivity: Excel/Google Sheets (pivots, lookups), Slack/Teams, Zoom, secure portals (SmartVault/ShareFile/Canopy/Karbon).
Qualifications (Must-Have)
3+ years hands-on U.S. tax prep across 1040/1065/1120S; active PTIN a plus.
Proven busy-season throughput with low review notes; multi-state experience.
Solid QBO skills and/or Xero proficiency (bank rules, tracking, projects, custom reports).
Hands-on Gusto payroll operations: onboarding, multi-state compliance, quarterly/annual reconciliations, and GL mapping.
Basis/depreciation competence; clean workpapers; professional English; reliable remote setup; schedule flexibility in March–April.
Nice to Have (not required)
EA/CPA (or in progress), AFSP; prior public accounting experience.
Bilingual Spanish/English.
S-Corp reasonable comp analysis, SALT workarounds, R&D credit basics, IRS/state notice resolution.
Schedule & Employment
Seasonal full-time: Nov 1 – Apr 30; overtime expected at peak (March-April).
Conversion path: High performers may convert post-season for year-round accounting, extensions, and planning.
