Position Summary
Reporting to the Team Lead, Student Services, the Student Services Coordinator supports the full student lifecycle and contributes to the smooth operation of the Faculty of Pharmacy and Pharmaceutical Sciences’ Student Services Office. This position provides front-line service to students and visitors and coordinates a broad range of administrative functions, including admissions, registration and timetabling support, student records management, academic standing processes, convocation review and clearing, event logistics, and student communications.
The Coordinator works closely with academic leaders, the Office of the Registrar, the College of Health Sciences, and internal committees to ensure accurate information, efficient processes, and high-quality service delivery. The role requires strong attention to detail, initiative, professionalism, and the ability to navigate a fast-paced, deadline-driven environment with a positive and student-focused approach.
Responsibilities
Supports the admissions process by creating and reviewing application records, monitoring missing materials, liaising with the Office of the Registrar, and preparing files for review.
Assists with registration and timetabling by developing and maintaining term schedules, monitoring enrolments, troubleshooting Campus Solutions issues, coordinating classroom bookings, and supporting curriculum-related updates.
Maintains complete and accurate student records in EDRMS/Alfresco and PeopleSoft; prepares documentation for academic standing reviews and communicates outcomes as required.
Coordinates all convocation-related activities, including graduate audits, degree requirement checks, data entry, and final clearing.
Provides front-line reception and inquiry support (in-person, email, and ticketing systems), ensuring timely and accurate triage to the appropriate staff.
Coordinates logistics for key Faculty events such as Orientation, White Coat Ceremony, Open House, and student support service appointments; liaises with internal and external partners and vendors.
Provides administrative support to the Admissions and Awards Committees and other Student Services functions as needed.
Prepares and disseminates student communications, newsletters, reminders, and program information in alignment with Student Services messaging.
Ensures student access and system permissions reflect program requirements and academic progression.
Contributes to a positive, collaborative, and student-centered team environment.
Qualifications
Completion of post-secondary education is preferred; a minimum of a relevant diploma in Business Administration or related discipline, or an equivalent combination of education and experience.
Minimum 3 years of administrative experience in a post-secondary environment.
Superior customer service orientation, interpersonal skills, professionalism, and ability to communicate tactfully and effectively.
Demonstrated experience with records management and high standards of accuracy.
Advanced Excel skills and proficiency in MS Office, Google Suite, and strong keyboarding abilities.
Experience with Campus Solutions and Slate is preferred.
Excellent organizational skills with the ability to manage competing priorities and strict deadlines.
Ability to work independently with minimal supervision while contributing to a collaborative team environment.
Strong problem-solving skills, adaptability, and comfort working in a dynamic environment.
Knowledge of University of Alberta policies and procedures, and familiarity with the Faculty of Pharmacy and Pharmaceutical Sciences, are considered assets.
Preference will be given to candidates with direct experience in Student Services or in a front-facing service environment within a faculty or similar setting.
