Duties include but are not limited to:
- Schedules appointments, including emergent consults for Veterans and is required to reschedule appointments as necessary.
- Refers and follows up on outside specialist appointment orders. Responsible for appropriate correspondence concerning referrals, consultations and other correspondence.
- Enters pre-payment information; verifies insurance, eligibility status, and current insurance providers.
- Schedules and orients new clinic employees as appropriate and other work groups that enter the patient care setting such as university affiliation staff and pharmacy resident.
- Distributes messages and maintains information and statistical records in connection with the VA Electronic Scheduling System (VAS) for patients/ Veteran requests.
- Creates and tracks encounter forms; uses computerized programs for follow-up of incomplete encounter forms.
- Serves as liaison between Veteran and Medical staff by obtaining information that is timely and assists patients, Veterans, visitors, and other personnel when communicating clinical policies, protocols, and procedures of the clinic(s).
- Receives, orients, and makes initial needs assessments for patients, Veterans, and visitors.
- Answers the telephone within three rings; routes calls, takes messages for staff, ensures confidentiality when dealing with sensitive Veterans matters.
- Uses VistA, CPRS and or other software to schedule appointments, review patients clinical data to update appointment information, order supplies, prepare documents.
- Responds to all inquiries from internal and external contacts; disseminates written correspondence regarding specific requests (e.g., copies of records).
- Updates the clinic(s) scheduling, correspondence, and phone management program databases using pertinent patient information. Follows-up with contacts when required information has not been received.
- Maintains a record of and is responsible for cash collections. Properly controls collections, issues change, maintains balances and reconciles the collection record daily.
- Serves as timekeeper as needed; collects timecards and leave slips, ensures completeness, and resolves discrepancies for clinic staff.
- Enters completed time and attendance into the computerized timekeeping system. Assists supervisor/ manager in keeping attendance records of personnel assigned.
- Responsible for proper maintenance, security, inventory and disposition of equipment. Reports supply needs/low supplies to Supervisor/ Manager. Makes routine requests for supplies; may monitor and track orders, maintains inventory, and organizes/ stocks the clinic storage room.
- Responsible for maintaining a clean work environment. Keeps all patient areas free from paper; reports unsafe conditions; and participates in the development and implementation of policies and procedures.
- Monitors appointment usage, clinic reminder dates, and utilization rates. Uses established reporting systems to monitor compliance in designated areas of clinic.
- Schedules tests, treatments, or appointments.
- Screens telephone calls for appropriate action. May triage urgent calls that do not involve direct requests for care.
- Communicates in a courteous and tactful manner with clients, visitors and the general public. Greets all clients arriving in the outpatient clinic and insures Veteran identification with mandatory use of Photo Identification process.
- Maintains office procedures; implements approved new office technologies to improve productivity and quality in clinic(s).
- Attends meetings, assists on committees; works effectively and cooperatively with other employees in a team approach; accepts and renders constructive criticism and advice in performance matters.
- Participates in continuing professional education and/or inservice courses on and off-station; participates in functional improvement surveys.
- Ensures data quality including ensuring complete information in records such as patient information, diagnosis coding, procedure coding, and other records necessary for providing health care or collecting clinical or administrative data. May involve extensive analysis or preparation.
- Manages recall of Veterans in the treatment units with abnormal test findings; contacts Veterans for appointments and documents this in CPRS; documents Veterans noncompliance in chart and relays to provider. Acts to complete clinical reminders to enhance overall Healthcare. Work Schedule: Monday-Friday 8:00 a.m.-4:30 p.m.
