Your Impact
As Virtual Assistant - Sports Data Specialist, you'll be the operational backbone helping identify and connect with 5,000+ top youth soccer teams across the country. Your meticulous data work will directly enable coaches and clubs to access elite tournament opportunities and international exposure. You'll also create streamlined dashboards that help US youth clubs operate more efficiently—contributing to the larger mission of elevating American soccer to world-class standards.
Key Responsibilities
Navigate 12,000+ youth soccer club websites to collect and organize coach contact information, team details, and program data with speed and accuracy—building the sales pipeline for tournament invitations
Build clean, intuitive Google Sheets dashboards for coaches featuring lineup management, roster tracking, automated win/loss calculations, and real-time game results—making complex data instantly actionable
Maintain organized, mail-merge-ready contact databases ensuring smooth outreach campaigns to thousands of prospective tournament participants
Collaborate live via Google Meet on Tuesdays and Thursdays (Pacific hours) for training and dashboard development, then execute independently Monday/Wednesday/Friday
Research club websites strategically to find director and age-group coach emails (U13-U19 focus), demonstrating initiative when contact info isn't immediately visible
Follow detailed SOPs while bringing your own organizational eye to ensure data consistency, visual polish, and professional presentation across all deliverables
Submit daily activity reports documenting progress, challenges requiring support, and tasks completed to maintain accountability
Manage email outreach campaigns using Google Sheets mail merge add-ons to connect teams with tournament and tour opportunities
Required Qualifications
Minimum 1-2 years proven experience as Virtual Assistant, Data Entry Specialist, or Administrative Coordinator with verifiable references
Advanced Google Sheets proficiency including formulas, filters, pivot tables, conditional formatting, and dashboard creation
Exceptional attention to detail with ability to maintain accuracy during repetitive, high-volume data entry (3,000+ entries weekly)
