Job Details

WHAT YOU'LL DO

• Coordinate the work of the business travel department, including the work of travel reservation specialists and entry and exit visa specialists, and manage the quality of services provided

• Support consultants engaged in long-term client projects (up to one year): search for suppliers, initiate contracts, booking accommodation, interact with client representatives as needed

• Participate in global travel projects in Russia and the CIS, implement and maintain an online travel booking tool, and briefing employees on corporate travel policy requirements

• Interact with the global team responsible for employee safety and security, including obtaining approvals for deviations from corporate travel policy and preparing evacuation flights from client projects for medical reasons

• Interact with business travel agencies, including sourcing and negotiating with them, monitoring service levels, reviewing and resolving complaints;

• Coordination of service providers (hotels restaurants, cabs, transportation companies, hotels, apartments, etc.), negotiations, quality control, resolution of conflicts);

• Coordination of work of visa suppliers including cooperation with authorized state agencies, chambers of commerce; Preparation of requests for proposals, draft contracts, applications, maintenance and updating of the database of suppliers within their area of responsibility;

• Supporting the finance department/accounting department of the company on corporate policy, on reporting of completed business trips (collecting boarding passes from employees, preparing document packages for the accounting department taking into account legislative and internal regulations and requirements) and monitoring the positive balance in the company's account;

• As needed: support corporate events coordinator, including finding venues, negotiating contracts, programs, etc;

• Other duties as assigned by the line manager.

YOU'RE GOOD AT

• Handling difficult situations with poise, understanding, and tact;

• Dealing with various travel/visa issues and addressing any team-related concerns;

• Displaying service-oriented behavior responding to customer needs;

• Successful management of several projects in various disciplines at the same time, flexibility and openness to new ideas and changes.

YOU BRING (EXPERIENCE & QUALIFICATIONS)

BASIC JOB REQUIREMENTS:

• University Degree;

• At least 3–5 years of relevant work experience, preferably in Travel Support in an international, multinational professional services firm or consulting;

• Fluency in English, Russian;
