Job purpose:
Provide reception services, to the customer base, internal and external, as well as providing a variety of administrative, secretarial, and operational services.
Key Performance Areas:
Provide a variety of reception services
Receive and respond to telephone queries and walk-in visitors/clients/applicants.
Handling switchboard responsibilities by screening incoming calls and directing the caller to the correct employee / department.
Receiving all correspondence, letters, packages, etc. and distribute them to their appropriate departments and employees.
Receiving, handling, and managing visitor processes: appointment booking, visitor logging, screening/security (if applicable), escort and direction within buildings/campuses etc.
Effectively screen, categorise and appropriately disseminate correspondence, information, enquiries, and requests.
Effectively monitor office supplies and arrange for appropriate replenishment on time and to prescribed norms.
Maintain filing and record keeping systems and databases in line with departmental policies, prescripts, protocols and best practice.
Provide a range of customer support functions: receiving payments, registering complaints, responding to queries.
Support the line manager in all administration-related duties as and when required.
Responsible for following policies and guidelines in the maintenance of safe working environments and systems within the designated workplace.
May provide mentoring, guidance and on the job training support to junior staff within own function.
