Operations and Logistics Coordinator
Chemonics seeks an Operations and Logistics Coordinator for the anticipated USAID Iraq Governance Strengthening Project (IGSP). IGSP will work with local governments to build their capacity to deliver services better and more equitably to the populations they serve.
The Operations and Logistics Coordinator is responsible for providing effective, efficient and discreet administrative support in relation to financial and contractual activities. The coordinator shall provide services necessary for supporting procurement, travel logistics, office administration and human resources.
Responsibilities:
Work with the operations and finance teams to coordinate vendor contracts, collect necessary invoices, and payments and ensure project procurement, logistical, and HR support activities are conducted efficiently and according to Chemonics’ and USAID’s policies and procedures.
Review project documentation for accuracy and compliance with USAID and Chemonics’ policies and procedures; coordinate payment requests by vendors for finance department to ensure smooth and timely payments.
Manage the office’s logistical and office supplies, including conducting regular stocktakes, managing office and guesthouse payments; ensuring all logistical tasks for consultants/guests/staff and workshops and trainings are being addressed efficiently.
Ensure the proper implementation and consistent application of Chemonics’ policies and procedures including procurement, inventory and asset management, security, branding, and information management. Monitor and oversee office supplies to assure uninterrupted services to project staff.
Lead on office maintenance; collaborate with relevant vendors to ensure required repairs are conducted within a reasonable time frame; monitor the conditions and safety of project office, guesthouse, vehicles and assets; liaise with the security firm to address and monitor any potential security concerns.
Work closely with local partners and/or grantees to ensure that subcontracts and grants administration is compliant with donor requirements.
Provide administrative support for Human Resource activities, including, recruitment, employee files, and the submission of monthly payroll and benefits documentation. Process HR/payroll-related forms such as absence reports, timesheets and assist with monitoring staff compliance to Chemonics’ Human Resources policies and procedures.
Contribute to weekly reports with updates to finance, HR, and procurement activities.
Develop and maintain proper and complete files. Track and record all incoming and outgoing packages/shipments and deliverables.
Support expatriate staff with travel and accommodation, visa applications, as necessary.
Backstop team members, as necessary
Qualifications:
Bachelor’s degree in accounting, business administration, or another related field required.
Minimum of three years’ relevant operations, procurement, and financial management experience, preferably with USAID projects.
Experience providing administrative support in Iraq
Demonstrated understanding of USAID rules and regulations; prior experience working on USAID projects is required.
Proficiency in Microsoft Office package, specifically Excel and Word; knowledge of QuickBooks is required.
Fluency in written and spoken English and Arabic (required); proficiency in Kurdish (preferred).
Excellent analytical, interpersonal, problem-solving, and communication skills.
