Under the guidance and direct supervision of the Procurement/Logistics Specialist, the Logistics Associate provides logistics and administrative support services ensuring high quality, accuracy and consistency of work. The Logistics Associate promotes a client-oriented approach consistent with UNDP rules and regulations. The Logistics Associate works in close collaboration with the Programme, Operations, and project teams in the Country Office (CO) for resolving complex logistics issues and information delivery. He/she provides oversight and supervision on a service contract managing the delivery and storage of sensitive election material in hubs spread across the country in challenging security environment.
Summary of Key Functions:
-Implementation of logistics services
-Support to efficient transport and vehicle management
-Support to proper inventory and assets management
-Support knowledge building and knowledge sharing
Ensures implementation of logistics services, focusing on achievement of the following results:
-Support transportation of project outputs including sensitive electoral material within the Country
-Lead implementation of logistical services in accordance with UNDP rules, regulations, policies and strategies;
-Provide logistical support to workshops, conferences, and events organized by the Country Office;
-Assist in the preparation and implementation of the CO procurement plans focusing on transport, customs clearance, and logistical aspects;
-Support the efficient management of vehicle fleet, focusing on achievement of the following results:
-Support logistical arrangements for CO vehicles; ensure vehicles are properly maintained and repaired;
-Monitor vehicle utilization and maintenance, ensuring timely vehicle insurance, registration and road tax payment. Ensures that vehicles are used as per the UN traffic rules
-Check and certify vehicle daily logbook; process invoices for CO vehicles and rented vehicles in compliance with UNDP Financial regulations and rules;
-Support the proper inventory and assets management, focusing on achievement of the following results:
-Maintain records on all CO assets, undertake regular inventories and prepare reports as required;
-Receives, inspects, and verifies all incoming equipment, furniture, and supplies and schedules deliveries to user areas;
-Tags all furniture and equipment upon receipt;
-Updates inventory records and ensures that unserviceable items are disposed of according to UNDP regulations;
-Ensure warehouse/storage rooms are well-organized, clean, and secured;
-Assist in the preparation of disposal of assets
-Contributes to knowledge building and knowledge sharing in the CO, focusing on achievement of the following results:
-Participates in the trainings for the operations/project staff on Logistics
-Contributes to knowledge networks and communities of practice
-The key results have an impact on the overall efficiency of the CO logistics and administrative management including improved business results and client satisfaction. Accurate data entry, presentation and information management promotes efficiency and effectiveness in programme and project implementation.
