JOB SUMMARYWe are looking for a Paralegal to join our Firm’s Intellectual Property (IP) Department. The successful candidate will be responsible for providing high-quality support on IP matters which includes but is not limited to taking client instructions, assisting attorneys with preparation and analysis of IP documents, research and filings. The candidate should have a strong work ethic and a genuine interest in working in this area of law.PRINCIPAL DUTIES AND RESPONSIBILITIES1.

Receive and act on clients’ instructions.2. Prepare applications with respect to all IP registries.3. Provide application and filing updates / reports to clients and supervisor as required.4.

Maintain e-mail correspondence with clients on a timely basis, provide information on IP procedures to clients, collate the required documentation.5. Assist with drafting, reviewing, formatting and finalizing internal / external correspondence and documents, including letters, e-mails and attend to queries and requests as directed by supervisor.6. Ensure proper file and document management - filing important documents including e-mail correspondence, ensuring e-mail documents are backed up to the specified storage media7.

Assist supervisor with reviewing and managing communication from the Intellectual Property Office and foreign counsel.8. Prepare amendments and respond to queries for designated portfolios.9. Conduct Searches of registries of the Intellectual Property Office.10.

Track due dates with supervisor to meet all identified filing / application dates.11. File documentation with the Intellectual Property Office.12. Assist with due diligence and other IP issues related to agreements or other transactional matters.13.

Handle the billing/invoicing function including preparation of bills, printing of periodic reports, follow up and attending to accounts receivables and outstanding invoices, tracking of on-going matters, keeping clients apprised on invoicing matters and following up with clients as necessary.QUALIFICATIONS AND EXPERIENCE· ASc. Paralegal Studies / Paralegal certification qualification will be an asset· 5 O’ Levels inclusive of Mathematics and English· Literacy in Microsoft Office applications and online research tools· Experience as a paralegal with an Intellectual Property background will be an asset· Experience handling multiple portfolios will be an assetDESIRED BEHAVIOURS AND SKILLS· Excellent communication skills (oral and written)· Strong organizational and problem-solving skills· Discreet and trustworthy· Proactive and client focused· Meticulous· Strong time and self-management skills· An ability to work independently and to prioritize and multi-task to complete projects effectively and efficiently.· A positive team member and active contributor in a team environment.
