We are seeking a detail-oriented and motivated Senior Vendor Administrator to join our procurement team. The ideal candidate will be responsible for performing due diligence on vendors as part of the KYC (Know Your Counterparty) onboarding process. This role requires a passion for procurement and a commitment to career development within the procurement department. The Senior Vendor Administrator plays a critical role in supporting procurement efficiency, supplier onboarding and enterprise-wide vendor risk management within the highly regulated oil and gas sector, by also ensuring adherence to internal policies.

Capturing data accurately and timeously.

Assisting in the resolution of vendor portal queries.

Reviewing of Vendor documentation on the portal and maintaining compliance.

Maintaining active vendor checklists and ensuring compliance to legislative requirements and maintenance on the portal.

Monitor and meet the vendor creation, vendor change and KYC completion KPI metric.

Provide timely and accurate vendor data to enable smooth procurement and payment processes.

Act as a reliable point of contact for vendor-related inquiries from internal departments.

Support procurement and operations teams during tenders, RFQs, and urgent sourcing needs.

Maintain open and professional communication with team members and support them in vendor-related tasks.

Collaborate with cross-functional teams (e.g., procurement, finance, legal, HSE) to manage vendors efficiently.

Contribute to a culture of accountability and transparency through accurate data management.

Meet and improve KYC timelines.

Facilitate fair, transparent, and efficient vendor onboarding and engagement processes.

Maintain clear and professional communication with vendors.

Assisting with annual audits and reporting of vendor compliance.

Enable smooth procurement-to-pay cycles, enhancing operational reliability and investor confidence.

Provide vendor data insights for strategic sourcing, cost efficiency, and operational decision-making.

Professional Qualification and Certifications:

Grade 12, with a tertiary qualification in Business Administration, Finance, or a related field in Procurement.

Work Experience:

3 - 5 years’ proven experience in vendor management, KYC compliance or a similar role in procurement.

2 - 3 years’ experience in Finance.

Knowledge and skills:

Proficiency in MS Office, Google Sheets and vendor management.

Strong attention to detail and accuracy.

Good understanding of supply chain and procurement processes.

Analytical and problem-solving mindset.

Excellent interpersonal and communication skills.

Knowledge of relevant regulations and compliance requirements related to KYC and vendor onboarding.

Ability to handle confidential and sensitive information with discretion.

Proactive, organized, and target driven.

Ability to work independently.

Good knowledge of ERP systems, such as SAP and Coupa.
