We are searching for an experienced ADMINISTRATIVE ASSISTANT| FRONT OFFICE CLERK (CLINICAL) at our DHB PT facility.Primary Duties and Responsibilities:Job Summary:Provide comprehensive administrative support for the Rehabilitation Department, facilitating effective front office operations, delivering outstanding service to patients and visitors, and ensuring smooth collaboration between clinical and administrative teams.Essential Duties:Front Desk Operations:Greet and assist patients, visitors, and staff professionally and empathetically.Provide clear directions and support for a positive experience.Handle incoming calls, messages, and inquiries promptly.Route calls, take accurate messages, and check voicemail regularly.Open and close the office daily; follow security and safety protocols.Administrative Support Responsibilities:Scheduling:Manage calendars, schedule appointments, and coordinate meetings.Documentation: Prepare, distribute, and file correspondence, reports, and meeting minutes.Meeting Support: Schedule notices, prepare materials, and take/transcribe minutes.Office Operations: Monitor supplies and equipment; place orders and arrange maintenance.Training & Conferences: Assist with logistics, register participants, and track reservations.Patient Records & Billing Responsibilities:Maintain accurate patient records and demographic updates.Process documentation promptly for compliance and continuity of care.Assist with billing, insurance authorizations, and revenue collection. Track open cases and perform clerical tasks (filing, sorting, and routing mail).Compliance & Quality Responsibilities:Prepare documentation for audits, licensing reviews, and compliance initiatives.Assist with case file audits and maintain accurate filing systems.Uphold confidentiality and ethical standards.Participate in meetings, training sessions, and in-service programs. Team Collaboration & Problem-Solving Responsibilities:Foster clear, respectful communication within the department and across hospital units.Identify and implement workflow improvements.Provide creative, reasonable solutions to patient and staff issues.
Represent the organization professionally and uphold its mission and values.Non-Essential Functions: Perform other duties as assignedRequired Qualifications:Qualifications Required: High school diploma Certificate or associate degree in medical administration, healthcare management, or a related field. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite. Strong written and verbal communication skills.Preferred: 2+ years’ experience in healthcare office procedures or a customer service role.
Familiarity with medical terminology and electronic health record systems.Skills & Attributes: Excellent interpersonal and customer service skills. Ability to multitask, prioritize, and work independently. High attention to detail and accuracy.
